Privacy Policy
We collect and use data to provide SPS, process payments, and improve the platform. We do not sell your personal information for marketing.

What We Collect
- Account data – Name, email, and other details you provide when registering or updating your account.
- Billing data – Payment is handled by Stripe. We do not store full card numbers; we receive transaction and customer identifiers as needed.
- Manuscript and project content – Text, outlines, planning files, and images you create, upload, or sync for your books. We store and process this to provide writing, editing, memory, continuity, export, and other features you use.
- Book Memory and continuity data – Structured facts we derive from your project (for example, characters, places, timeline events, and canon notes) and semantic indexes used so Aspen and related tools can recall your story. Heavy continuity checks may run as jobs you start and may use credits.
- AI-assisted editing data – When you run named editor passes or similar analysis, we process the manuscript (or the portions required for that pass) to produce reports and suggestions. You choose what to apply to your book.
- Uploaded files – Text and images you upload for processing jobs (we process and store these to deliver the service).
- Usage data – Jobs run, coarse feature-usage signals, and similar data to operate, secure, and improve the service.
- Desktop app data – App version, platform, a device identifier we assign for sync and licensing, and optional product analytics events from the Story Production System desktop app. Optional analytics do not include manuscript text.
- Diagnostics and error reports – (1) Automatic: If the desktop app crashes or hits a serious error, we may send a sanitized diagnostic report (error type, app version, platform — not manuscript text, passwords, license keys, or local file contents). (2) Opt-in: When you contact support, you may choose to attach recent client error logs (typically the last ~2 hours). We do not attach logs unless you check that option.
- Cookies – For authentication and, if used, analytics on the website. You can control cookies in your browser; some features may not work if cookies are disabled.
How We Use Data
We use data to: provide and operate SPS; process payments; deliver output files and print orders; run Book Memory, continuity checks, and named editor analysis you request; sync projects between your devices and account; diagnose and fix crashes and serious errors; prevent fraud and secure the platform; provide support; and improve our products. We do not sell your personal information to third parties for their marketing.
Sharing
We share data only as needed to run the service:
- Stripe – For payment processing.
- Email provider – If we use one for transactional or product email.
- Hosting providers – e.g., DigitalOcean, for servers and storage.
- AI model providers – When you use AI features (Aspen chat, named editors, continuity analysis, text-to-speech preview, and similar), we send the minimum text and context needed for that request to the configured provider. We use these services to generate responses for your project, not to sell your content.
- Analytics provider – Server-side product analytics (for example, PostHog) for optional usage measurement and essential system-health events, as described under Cookies and analytics.
- Print fulfillment partner – For print orders (only the information needed to fulfill your order).
Data Retention
We retain your data while your account is active and as long as needed to provide the services and comply with legal, tax, or regulatory requirements. Logs and job data may be retained for a limited period after that. You may request deletion of your account and data; we will delete or anonymize where feasible, subject to legal obligations.
Security
We use reasonable safeguards to protect your data. We do not guarantee absolute security; no system is completely secure.
Cookies and analytics
We use cookies for essential functions (for example, keeping you signed in). Where required, we ask for your consent before enabling optional analytics that help us improve the product. You can change analytics preferences in your Account Center (Preferences) when logged in, in Settings → Privacy in the desktop app, or via the cookie banner when shown.
Optional analytics include coarse product-usage events (for example, which features were used and whether an action succeeded). They are processed primarily on our servers and do not include manuscript text.
Essential measurement (for example, security events, bounded crash or diagnostic context, and system health) may still be processed when necessary to operate and protect the service, consistent with applicable law.
Desktop app: Installing or opening the app does not by itself mean you agree to optional analytics. When you are signed in, optional desktop analytics follow the same preference as your account.
Your Rights
You may request access to or export of your data (including subscriber email export where we offer it via the UI or API). You may request deletion of your account and associated data through our Support page, privacy contact, or by using the API endpoint DELETE /wp-json/web-system/v1/account (requires license key authentication and password confirmation). We will respond within a reasonable time as required by applicable law.
Children's Privacy
SPS is not directed at children. You must be 18 or older to create an account. We do not knowingly collect personal information from children.
Changes
We may update this Privacy Policy. We will post the updated version and, where required by law, notify you of material changes.

1. Acceptance of Terms
By creating an account or using the Story Production System ("SPS") and related services, you agree to these Terms of Service ("Terms"). If you do not agree, do not use the services.
2. Who May Use SPS
You must be at least 18 years old to create an account. Parents or guardians may supervise minors who use content produced with SPS, but account holders are adults and responsible for all use.
3. Definitions
- SPS – The Story Production System: the SaaS platform and services we provide.
- Account Center – The authenticated area where you manage your account, billing, library, and support.
- Credits – A final purchased product used to run formatting/processing jobs. Credits are non-transferable, have no cash value, cannot be refunded or exchanged, and expire at the end of the grace period if your account is not restored (see our Billing and Refund Policy).
- Processing Job – A job that uses your uploaded text and cover image to generate formatted book files via our processing servers.
- Output Files – The files produced by a processing job (e.g., PDF, EPUB), delivered to your Account Center library.
- Print Order – An order for physical books fulfilled via our print partner, shipped to the author address on file.
- Author – You, the account holder and content owner.
- Reader – End readers of your published work (where applicable).
- Content – Text, images, and other material you upload or submit to SPS.
4. Service Description
SPS is a SaaS author platform that provides:
- Formatting and processing jobs using credits (you upload text and one cover image; our servers generate formatted book files).
- Library delivery of output files to your Account Center.
- Optional print fulfillment via our print partner: orders are shipped to the author address on file. Pricing is the printer's print cost plus a $5 flat fee per order.
5. Account Responsibilities
You agree to: provide accurate information; keep your credentials secure; and use the services only for lawful purposes in line with these Terms and our Acceptable Use Policy.
6. Credits
Credits are a final purchased product. They are non-transferable, have no cash value, and cannot be refunded or exchanged. Each credit is used for the purposes we define (e.g., one formatting job of a given type). If your account enters a grace period (e.g., after cancellation or payment failure) and is not restored within the grace period, your credits expire at the end of that period. See our Billing and Refund Policy and the Account Center for current usage and life-cycle rules.
7. Payments
Subscriptions and credit purchases are billed as described at the time of purchase. Payment processing is handled by Stripe. You are responsible for any applicable taxes. Refunds are governed by our Billing and Refund Policy.
8. Print Orders
Print pricing is the printer's print cost plus a $5 flat fee per order. Shipping must go to the author address on file. Print orders are not refundable once submitted to our print partner unless the product is defective or there was a printing error; see our Billing and Refund Policy for the claim process.
9. Content Ownership and License to Process
You retain ownership of your content. You grant SPS a limited, non-exclusive license to host, process, and store your content only as necessary to provide the services (e.g., running jobs, delivering files, fulfilling print orders).
10. Intellectual Property and Prohibited Use
SPS Intellectual Property: The Story Production System, including but not limited to its software, code, rule logic, workflow patterns, system architecture, API endpoints, algorithms, and documentation, is the proprietary intellectual property of SPS and its licensors. Prohibited Activities: You agree not to, and not to permit others to:
- Reverse engineer any part of the SPS platform, software, or services, including decompiling, disassembling, or otherwise attempting to derive source code, algorithms, or underlying logic.
- Scrape, crawl, or extract data, content, rule logic, workflow patterns, or system architecture from SPS through automated means, APIs, or any other method, except as explicitly permitted by these Terms or a separate written agreement.
- Replicate or reproduce SPS rule logic, workflow patterns, system architecture, or proprietary algorithms, whether in whole or in part, for any purpose.
- Extract or copy rule orchestration logic, workflow patterns, system architecture, or any other proprietary information that constitutes trade secrets or confidential information of SPS.
- Use any information obtained from SPS to create a competing product or service, or to assist others in creating a competing product or service.
Trade Secrets: Rule orchestration, workflow patterns, system architecture, and related proprietary methodologies are trade secrets of SPS. Access to such information is limited to authorized operators and administrators only. Unauthorized access, use, or disclosure of trade secrets may result in immediate termination of your account and legal action.
Violation of this section may result in immediate termination of your account, legal action, and damages. We reserve all rights and remedies available under law.
11. Prohibited Content and Enforcement
Prohibited content and behavior are defined in our Acceptable Use Policy. We may suspend or terminate your account or remove content for violations.
12. DMCA / Copyright
We respond to valid DMCA takedown notices. See our DMCA and Copyright Policy for how to submit a notice or counter-notice.
13. Disclaimers
We do not guarantee any particular results, sales, or acceptance of your work by marketplaces or third parties. Services are provided "as is" to the extent permitted by law.
14. Limitation of Liability
To the maximum extent permitted by law, we and our affiliates are not liable for indirect, incidental, special, consequential, or punitive damages, or for loss of profits or data. Our total liability for claims arising from the services shall not exceed the amount you paid us in the twelve months before the claim.
15. Indemnification
You agree to indemnify and hold harmless SPS and its affiliates from claims, damages, and expenses (including reasonable attorneys’ fees) arising from your use of the services, your content, or your violation of these Terms or applicable law.
15. Termination
We may terminate or suspend your account as set out in these Terms and the Acceptable Use Policy. You may stop using the services at any time. Sections that by their nature should survive (e.g., liability, indemnification) will survive termination.
If you choose to close your account yourself, use the Close account flow in your Account Center when logged in. It walks you through downloading an author bundle export (your portable archive), acknowledging that cloud data will be removed, and confirming closure. What we delete and what we may retain for legal or billing reasons is described in our Privacy Policy.
17. Changes to Terms
We may update these Terms. We will post the updated version and, where required by law, notify you. Continued use after changes constitutes acceptance.
18. Governing Law and Venue
These Terms are governed by the laws of the jurisdiction in which we operate, without regard to conflict of law principles. Any dispute will be resolved in the courts of that jurisdiction, unless otherwise required by law.
